Metro Elite Sports Inc. (“Metro Elite Sports,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using our website, registration systems (including Teamlinkt), and services (the “Services”), you agree to the practices described here.

1) Information We Collect

1.1 Personal Identifiers
Name, email, phone number, postal address, date of birth/age bracket (for youth events), emergency contact, team/organization name.

1.2 Account & Registration Data
Roster details (3–5 players), team captain/representative info, waiver acknowledgments/signatures, event preferences.

1.3 Payment & Transaction Data
Amount paid, items purchased, last 4 digits and card brand, and transaction IDs via our payment processors (e.g., Stripe, Square, or Teamlinkt’s integrated processors). We do not store full payment card numbers.

1.4 Usage & Device Info
IP address, device and browser type, pages viewed, referring URLs, and general activity on our site or registration pages (via cookies or similar technologies).

1.5 Communications
Messages you send us (email, forms, SMS), support requests, survey responses, social media DMs.

1.6 Photo/Video & Media
Images or video captured at events per our Terms & Conditions and event waivers.

2) How We Use Information

  • Service Delivery: Process registrations, manage rosters, send waivers, schedule games, manage venues, and run events.

  • Communications: Send confirmations, schedules, operational updates, and respond to inquiries.

  • Marketing (Opt-Out Anytime): Send event announcements, promotions, and surveys consistent with CAN-SPAM/TCPA.

  • Safety & Compliance: Verify eligibility, enforce rules, prevent fraud/chargeback abuse, and comply with law.

  • Analytics & Improvement: Improve our website, events, and participant experience; measure campaign performance.

  • Records & Legal: Maintain records for insurance, dispute resolution, and compliance (we generally retain core records for up to 7 years unless a longer period is required by law or for active disputes).

3) Legal Bases (What Authorizes Our Use)

While we operate in the U.S., we follow widely accepted principles:
Contract (perform our agreement), Legitimate Interests (improve and secure Services), Consent (marketing texts/emails, certain cookies; parent/guardian consent for youth), and Legal Obligations (tax, safety, lawful requests).

4) Cookies & Tracking Technologies

We and our service providers use cookies, pixels, and similar technologies to run the site, keep you signed in, remember preferences, and measure performance. You can manage cookies in your browser settings; some features may not function if certain cookies are disabled. Where required, we display a cookie banner that lets you adjust preferences. We do not currently respond to browser Do Not Track signals.

5) Text Messaging & Consent (TCPA)

By providing a mobile number, you agree we may send transactional (e.g., schedules, waivers) and marketing messages. Message frequency varies. Msg & data rates may apply. You can STOP at any time to opt out of marketing texts (you may still receive essential transactional messages related to your registration). 6) How We Share Information

We do not sell or rent your personal information. We may share the minimum necessary with:

  • Service Providers/Processors: Teamlinkt (registrations/waivers), payment processors (e.g., Stripe, Square), email/SMS tools, cloud hosting, analytics—under written agreements that limit use to providing services and require security safeguards.

  • Event Partners: Official co-hosts, facility/venue partners, officials/referees, insurance providers—only what’s needed to operate the event.

  • Legal & Safety: To comply with law, enforce our Terms & Conditions, protect rights, safety, or property.

  • Business Changes: In a merger, acquisition, or restructuring, info may transfer consistent with this Policy.

We do not allow third parties to use your information for their independent marketing without your consent.

7) Youth & Children’s Privacy

Our youth events typically involve participants ages 10–17. We require a parent or legal guardian to register minors and to sign event-specific waivers and Terms. We do not knowingly collect personal information directly from children under 13 without verifiable parental consent (Children’s Online Privacy Protection Act, COPPA). If you believe a child has provided information without proper consent, contact privacy@metroelitesports.org and we will delete it.

8) Your Choices & Rights

  • Access/Update: Request access to or correction of your information.

  • Marketing Opt-Out: Click “unsubscribe” in emails, reply STOP to SMS, or email us. We will still send essential transactional messages.

  • Deletion: Request deletion; we will honor it unless we must retain data for legal/safety/recordkeeping obligations (e.g., insurance, tax, disputes).

  • Cookies: Manage via your browser or our cookie banner (if available).

9) U.S. State Privacy Rights (including CA, CO, CT, VA, UT, TX)

Depending on your state of residence, you may have the right to (i) know/access, (ii) correct, (iii) delete, and (iv) obtain a portable copy of certain personal information we hold about you. You may also have the right to opt out of:

  • the “sale” or “sharing” of personal information,

  • targeted advertising, and

  • profiling in furtherance of decisions that produce legal or similarly significant effects.

How to exercise rights: Email privacy@metroelitesports.org with your name, email, state of residence, and request type. We will verify your identity and respond within the time required by law (generally 45 days). If we deny your request (in whole or part), you may appeal by replying to our decision email or contacting us with the subject line “Privacy Appeal.” If you use an authorized agent (where permitted), we may require proof of authorization and may still require you to verify your identity. We do not discriminate against individuals for exercising privacy rights.

10) Data Security & Incident Notice

We use administrative, technical, and physical safeguards to protect your information. Payment data is processed over encrypted connections by PCI-compliant processors. No method is 100% secure; if we learn of a security incident affecting your personal information, we will notify you and the relevant authorities as required by applicable law.

11) Data Retention

We keep personal data only as long as necessary for the purposes described in this Policy, including:

  • Routine event and registration records: up to 7 years;

  • Financial/transactional data: as required by tax and accounting laws;

  • Waivers/consents: as required by insurance, safety, and legal needs;

  • If a dispute or legal request is pending, we retain relevant data until resolved.

12) International Visitors

We operate in the United States. If you access our Services from outside the U.S., you understand that your information may be processed in the U.S. where laws may differ from your jurisdiction.

13) Third-Party Links & Services

Our website or communications may link to third-party sites or forms (e.g., Teamlinkt, Google Forms). Their privacy practices are governed by their policies. Review those policies before submitting information.

14) Changes to This Policy

We may update this Policy from time to time. When we do, we will change the Effective Date above and, if changes are material, we will provide additional notice (e.g., website banner or email). Your continued use of the Services after an update means you accept the revised Policy.
